Office Manager
Standalone role reporting to the Managing Director
- Outside of normal duties below, act as a PA for Managing Director maintain an efficient and growing working relationship, advising on changes that may need to be made and implementing such changes.
- Ability to make decision on your own to better the business
- Opening and closing of the office as per office hours
- Assist in implementing new systems
- Answer phones and emails, set answering machine, check messages, pass on messages immediately
- Support all aspects of day to day running of business, MD, HR, Accounts, Sales & Marketing, CSM and Industrial
- Support and run various company projects.
- Work with various departments within the company to come up with ways to enhance the quality of service we provide
- Manage office stationery & canteen. Monitor stock levels (tea/coffee/milk) and ordering when needed.
- Manage the office cleaner (oversee schedule & sign off on audits)
- Fieldmotion support and guidance.
- Deal with IT Company as required
- Complaints process passing it onto the relevant person and keeping track of all complaints.
- Look after the issuing of Company phones, telephone upgrades.
- Uniform stock control (holding of key & stock book)
- Managing Vehicles folder (everything except Tax)
- Vehicle keys (Key to box held by)
- Checking & signing off deliveries
- Dealing with suppliers & issuing PO’s
- Sourcing products & info as required (office machines, machine id cards, GPS vehicle tracking)
- Industrial & DOC administration.
- Issue quotations (sage plus word), follow up phone calls, get written confirmations, new account forms completed, conditions of contract & SLA’s
- Schedule Industrial Jobs along with the Industrial and Assistant Industrial Manager.
- Attend weekly meeting, taking minutes of said meetings and participating in meetings.
- Knowledge of all office equipment i.e., answering machine, printers, phones
- Management of office space, re-arranging where necessary, re-organising.
- Book in company vehicles for DOEs and car repair if needed (Costs to be agreed with Accounts before PO is invoiced and work confirmed)
- Implementing new processes and procedures that will benefit the smooth running of the business
- Create, manage, and monitor databases, ensuring that everyone is informed and trained in the correct updating of such database.
- Ensuring that the office and company operates in the most cost-efficient manner
- Always Keeping all office area tidy, providing ideas on how to have a nicer office environment.
- Other duties as required
